Person Specification 

Experience (essential):

  • Must have 3 year + experience working within General Practice
  • Must have working experience with EMIS clinical system
  • Knowledge of Data Protection and understanding the requirement to maintain confidentiality Ability to use discretion and maintain confidentiality
  • Knowledge of computer packages: Word, Excel, Outlook and PowerPoint

Desirable:

  • Experience working as a Medical Secretary

Job Responsibilities

  • To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team
  • Processing referrals using the electronic referral system (ERS) and letters as requested
  • Taking meeting minutes and sharing with relevant team.
  • Typing letters, reports and associated documentation as required
  • Managing all enquires in an effective manner and Managing all administrative queries as necessary
  • Actioning all incoming email
  • Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
  • Maintaining an accurate referrals database
  • Scanning of patient related documentation and attaching scanned documents to patients’ healthcare records
  • Inputting data into the patients’ healthcare records as necessary
  • Carrying out system searches as requested
  • Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms
  • The post holder will take instruction on a day to day basis from the Practice manager. However, the post-holder is expected to be self-directed and self-motivated using their own initiative and requiring minimum input from the Practice Manager. The Post-holder’s work is formally reviewed by annual appraisal
  • Maintaining a clean, tidy, effective working area at all times
  • Supporting all clinical staff with general administrative tasks as requested
  • The post-holder must be proactive in forward planning, identifying and implementing improvements within and beyond their key result areas, anticipating and communicating future internal and external requirements.
